Requesting a Referee

New England Rugby Football Union (NERFU) member clubs must request referees from the New England Rugby Referees Society (NERRS) for all matches and tournaments that they host. This website is the mechanism for requesting referees from NERRS, and the mechanism through which NERRS will invoice clubs for fees for assigned referees.

On this page you will find information on:

  • Club website user accounts and passwords
  • Requesting referees for matches
  • Requesting referees for tournaments

The Referee Society will attempt to assign referees only to those matches and tournaments that appear on the master schedule posted on this website. Please note we only collect and display information about matches and tournaments hosted by New England clubs. If you are playing away against a club from outside of New England it will not be reflected on this website. If your away matches against other New Engalnd clubs do not appear on the master schedule, don't contact us, contact the host club directly and make sure they have contacted the Referees Society to request a referee.

It is each club's responsibility to be up to date with payments to the Referees Society.Referees will not be assigned if you have an outstanding balance due from the prior fall or spring season.

Club accounts and contact information

NEW FOR 2008
 This website is set up with one user account for each club. When you first log in to your club account you will be asked to provide contact information for THREE club officials before you will be able to conduct any business with the referees Society. All three contacts will receive e-mail communications from us regarding referee assignments and other business with the Society. This contact information will be archived at the end of each season and must be re-entered at the start of each season. While this may seem like overkill, our experience has shown that because of the rate of turnover for club officials and because single contacts are not always available during the season when last minute changes are necessary, requiring three contacts and ensuring constant update of information is the best way to ensure that important communications are received in a timely manner by clubs. 

Usernames and passwords
NEW IN 2008

New usernames and passwords for 2008 were provided to every club at the recent NERFU AGM. If you do not have your club's username and password information, please email the Director of Assignments with your name, club, position with the club, and e-mail address.

To log in to your account enter your club's username and password in the boxes on the top left of the website. You may change your account username and password after your first log-in by clicking on "update club account log-in".

Updating contact information
In order for the Society to communicate effectively with your club, you need to provide us with up to date contact information:

1. in the log-in box on the top left click on "Club Management";
2. from the options on the left, click on "Club Contact Information";
3. Update the contact information, including e-mail address. 
4. click on "Update Contacts" at the bottom of the page.

Requesting Referees for your Home Matches
Each club is responsible for requesting referees for their HOME matches and Tournaments that they host, you do not need to enter your away schedule. 

Matches and tournaments are requested using separate website tools. Any event involving more than two teams, such as a three-team round robin, should be entered as a tournament (this allows us to assign multiple referees when available). Effective October 1, 2013, all tournaments must be sanctioned by USA Rugby in order to be eligible for referee assignments.   http://www.usarugby.org/event-sanctioning

When you are logged in:

    1. in the log-in box at top left click on your "Club Management"
    2. from the options on the left, click on "Submit Matches"
    3. your club name will appear at the top of the new page
    4. enter a team name (2nd XV, Old Girls, Under 19s etc) if applicable. First XV is assumed and you do not need to enter anything in this box if your game is 1st vs. 1st.
    5. if your opponent is a NERFU club, select the club from the drop down menu
    6. if your opponent is from outside of NERFU, type in the club name in the lower box
    7. enter the team for the visiting club (1st XV, Old Boys, Under 19s etc) if applicable
    8. enter the match date, including year - make sure you get this right
    9. enter additional match information, if known, such as location, kickoff time and any special considerations. This information is not required but it is helpful.
    10. click "Add Match" at the bottom. Only click this button once. Please give the system time to react.
    11. "This match has been submitted successfully" will appear at the top of the page, you may now enter additional matches using the same steps 2-10 above.

If you make a mistake, such as entering the wrong date or entering the same match more than once, e-mail the Director of Assignments asking him to delete incorrect information, and then resubmit a request with the correct information.

Requesting Referees for Tournaments you are Hosting

When you are logged in:

    1. in the log-in box at top left click on your "Club Management" 
    2. from the options on the left, click on "Submit Tournaments" 
    3. your club name will appear at the top
    4. enter the tournament dates - please be sure to enter both days if your tournament is more than 1-day
    5. enter required tournament information:
      a. tournament location
      b. start time
      c. number of matches
      d. number of fields
      e. tournament director contact information (you must include information; if it changes at a later date contact assignments@nerugbyrefs.org)
    6. Any caveats or unknowns can be entered in the "Tournament Comments" box; 
    7. click "Add Tournament" at the bottom. Only click this button once.
    8. "This tournament has been submitted successfully" will appear at the top of the page, you may now enter additional tournaments using the same steps 2-6 above. 

If you make a mistake, such as entering the wrong date, e-mail the Director of Assignmentsasking him to delete incorrect information, and then resubmit a request with the correct information. IT IS YOUR RESPONSIBILITY TO CHECK TO BE SURE YOU ENTERED YOUR MATCHES CORRECTLY. THE SOCIETY WILL NOT DOUBLE-CHECK GAMES THAT ARE LISTED ON ODD DAYS.

Reviewing Your Club Schedule and Referee Requests
You will receive an e-mail notification to the address provided in your profile for each match and tournament submitted. You may view the list of matches and tournaments you submitted by clicking on "View Submitted Matches" When your requests are approved by the Society, your matches will appear on the master schedule.

Your schedule of matches will also appear on your individual club page on the website. Go to the Club Directory and select your club. Note that schedules on this website only show your home matches you have entered; away matches against other NERFU clubs that have been entered correctly; and tournaments you are hosting.
